Information we collect

Depending on your relationship with us, we may collect:

  • your name, job title, organisation and business contact details;
  • your correspondence with us and records of calls, meetings and enquiries;
  • event information, including event type, timing, location, planning stage and brief;

Please do not include sensitive personal information in an event enquiry unless it is necessary and you have agreed this with us.

How we collect information

We collect information directly from you, from colleagues or organisations that introduce or appoint us, from suppliers and professional partners, and from publicly available professional sources such as company websites and LinkedIn. Our website may prepare an email containing your enquiry details for you to send using your own email application. The enquiry reaches us only when you choose to send it.

How and why we use information

We use personal information to:

  • respond to enquiries and take steps towards a contract;
  • plan, price, contract for and deliver events and related services;
  • manage clients, suppliers, venues, contractors and business relationships;
  • administer accounts, payments, records, insurance, safety and legal obligations;
  • protect our systems, people and business and prevent misuse or fraud;
  • improve our services and, where you consent, understand website performance; and
  • send relevant business communications where permitted by law.

We rely on one or more lawful bases: taking steps at your request or performing a contract, complying with legal obligations, our legitimate interests in running and developing our business, and consent where the law requires it. You can withdraw consent at any time.

We keep personal information only for as long as needed for the purposes described above, including to meet contractual, tax, insurance and legal requirements and to resolve disputes. Retention periods vary according to the type of record and our relationship with you. We securely delete or anonymise information when it is no longer required.
